1st Annual Pictionary Tournament

Project Description:
Do you remember that popular TV game show “Pictionary”?!! Well, the Nashville Symphony Orchestra League reinvented the show as a fun way to recruit and retain members. The desired goal of the Pictionary tournament was threefold: to increase membership numbers, expand the membership base with a target audience aged 30-60 and to provide a unique and fun event with low overhead. Nearly one hundred people gathered to network and socialize while playing the board game “Pictionary.” Members chose to arrive with their team of four already formed or have a team arranged on their behalf. The evening opened with practice rounds and transitioned into tournament play. The tournament rounds were set on a stage and projected onto the main back wall through a laptop for everyone to enjoy overhead.

The Orchestra League aligned its membership goals with the Nashville Symphony to broaden the audience base for events and concerts and focused on reaching out to this younger demographic. The success of the project was determined by the quantity of new members and their feedback. The volunteer membership committee felt that two strategies were critical to the event’s overall success: 1) the committee strongly encouraged new members to preregister for the event and 2) the membership committee held a “practice” Pictionary tournament two weeks out which was instrumental in troubleshooting the evening. While the volunteer leadership was very pleased with the community support, the primary lesson learned was to plan for the necessity of a focused and multi-level marketing initiative. This was a novel idea for a member recruitment event and will be repeated annually.

Role and number of volunteers involved:
There were six people on the membership committee responsible for planning the event and over 20 volunteers needed on the event night to welcome, register, photograph and conduct the tournament. The membership committee utilized one staff member as a Symphony liaison and hired three Food and Beverage staff for service needs at the event.
